October 6 2013 Meeting Minutes

    
 
The meeting was called to order by Linda Lewis at 10am.  Present were 4 members of the executive committee – Linda Lewis, Dan, Cowell, Chris Keefe, and Sandi Roberts – as well as 25 other SBPOA members.
 
The minutes of the 6.9.12 membership meeting were approved as read by Sandi Roberts.

 Linda Lewis gave the treasurer’s report in Linda Paul’s absence.  As of 9.28.12, the checking account balance is $24,630.90.

 Chris Keefe reminded everyone present that the fall newsletter will be published within the next week.  It will include tips to keep your house safe during the off-season.
 
Dan Cowell reported on the Neighborhood Watch program which runs from October 1st through April 30th.  There are currently 46 walkers responsible for watching the homes of most of SBPOA’s 822 members.  Dan asked those present to remind their neighbors to turn off the water to their home when they go out of town.  Dan has heard a rumor that Neighborhood Watch window cards have been handed out to non-members and asked that people not do this.  The volunteer appreciation luncheon is scheduled for Tues., Dec. 11 at Bear Trap Bistro.


New business:

Linda Lewis shared both 2013 executive committee recommended budgets and explained the rationale for each.  Linda shared input that she had received prior to the meeting from SBPOA members – Helen Delaney, Dick & Margaret Oliver, Michael Lamastra, Jay & Mary Headman, George Junkin, and Carol Stevenson - who were unable to attend the meeting.  Dennis Roberts shared comments he had received from Norm Montigny, who was unable to attend the meeting.  A lengthy discussion ensued.  Decisions made from the discussion are listed below:

A motion was made and seconded to accept the budget with $20 dues as originally presented, with no additions, changes or reductions.  The motion failed.

A motion made and seconded to have two volunteer appreciation luncheons rather than a dinner and a luncheon, each with a budget of $1500.  This would save $1100 in expenses.  The motion carried.  One luncheon will be on a weekend to accommodate volunteers who work during the week.

A motion was made and seconded to have a “not to exceed $5000” expense for the bull roast.  The motion was withdrawn after discussion.

A motion was made and seconded to add a line item to the budget for the SB Historical Society with an expense of $1000.  The motion carried.

A motion was made and seconded to add a line item to the budget for the SB Community Enhancement Committee with an expense of $1000.  The motion failed.
 
A motion was made and seconded to add a line item to the budget for the SB Community Enhancement Committee with an expense of $500.  The motion failed.
 
John Speer read a letter from Ed Nazarian regarding reinstating the directory and asked that it be included in the minutes.  A motion was subsequently made and seconded to add a line item to the budget for the directory with a projected expense of $5000 and projected revenue of $13000, subject to finding a volunteer to chair the committee and coordinate the work involved in creating the directory.    The motion carried.

A motion was made and seconded to approve the revised budget with membership dues remaining at $20.  The motion carried.


Other new business:

Linda Lewis shared a letter she had received from a SB resident regarding a drainage issue on Peterson Rd.  It was agreed that this is a town, not an association issue.

Sandi Roberts shared the following executive committee motion to clarify how bull roast tickets may be used:

Since the SBPOA Annual Bull Roast is a community event for those households that belong to the SBPOA and the SBPOA provides 2 FREE tickets per member household, these tickets are intended to be used by the SBPOA members.  If the second member is unable to attend (or there is no second member), the second ticket can be used by the member's immediate family as long as the member is attending.

The motion was seconded and discussion followed.  The motion was amended to state, “the second ticket can be used by a GUEST as long as the member is attending.”  The amended motion carried. 
 

New business from floor:

John Speer announced that the SBPOA was the first group that functioned as an advocate for the town of SB after it was incorporated in 1969.

Barbara Junkin announced that she and George will be sharing photos from their recent African trip at the town hall on 11/3.  All are welcome.

A motion was made and seconded that SBPOA donate $500 from the 2012 budget to the SB Historical Society.  The motion carried.
